One portal, a setup for each program
Allied health divisions often run eight or ten programs with one or two coordinators each. Every program gets its own requirement list, cohorts, due dates and clinical sites in Pact Schools. A director can be limited to their own programs, and a dean can see all of them.
What each program tends to add
| Program | Often added to the standard file |
|---|---|
| Radiography and imaging | Signed radiation safety and program policy acknowledgments, plus MRI safety screening forms for sites with MRI. |
| Sonography | Site-specific orientation and confidentiality forms for each imaging center. |
| Respiratory care | N95 fit test records and site training for ICU rotations. |
| Surgical technology | Operating room orientation and any site-specific attire or safety forms. |
| Dental hygiene | Requirements for the campus clinic and for outside rotations. Hepatitis B status matters here too. |
| PTA and OTA | Fieldwork site forms and long placements at outpatient clinics, schools and hospitals. |
| Medical lab, phlebotomy, medical assisting | Short placements with many sites, so quick proof for each site matters most. |
Examples only. Every program and site writes its own list.
The standard file, for every program
Immunizations and titers, TB screening, CPR or BLS, health insurance if a site asks, signed program forms, a drug test and a background check. Each item has its own renewal period. Students get reminders 30, 14 and 7 days before anything expires.
Usually checked within minutes, 24/7
Pact Compliance Review checks every upload, usually within minutes, 24/7. It approves the document and records its expiration date, or tells the student exactly what is wrong and what to upload instead. Anything only your program can decide, such as an exemption request, comes to you. Drug test results and background check reports are never part of it: they come straight from the lab and the screening partner.
Sites, placements and shifts
Keep every site's contacts, capacity and agreement end date. Place students with dates, unit and instructor, or post shifts students can claim. Send each site a share link or a verification letter.
