Clinical compliance tracking for nursing programs
ADN, BSN, LPN and RN-to-BSN programs juggle cohorts, start dates and a different requirement list at every hospital. Pact keeps each student's records current, checks each upload, usually within minutes, and gives every site its proof.

The problem nursing coordinators describe
A clinical coordinator often spends the weeks before a rotation chasing records one student at a time: a TB result that never arrived, a CPR card that runs out mid-semester, a flu shot the hospital wants by a date the program didn't set. Each hospital writes its own list in its affiliation agreement, and a student cleared for one site may not be cleared for the next.
Pact Schools turns that into one roster. Every student shows as cleared, at risk (something expires soon) or behind (something is missing or rejected), for the whole cohort and for each site.
How it works for a nursing program
- Set up each program. ADN, BSN, LPN and RN-to-BSN each get their own requirement list, cohorts and due dates. Start from Pact's list and match it to your sites.
- Add each site's extra rules. If one hospital wants a flu shot by October 15 and another accepts a signed declination, each site's rules say so.
- Students upload from their phone. No app to install. Reminders go out 30, 14 and 7 days before anything expires, and before each due date you set.
- Most uploads are checked within minutes. Approved with its expiration date, or sent back to the student with the exact fix.
- Send proof to the site. A secure share link, a verification letter for the students you pick, or both.
Who reviews the documents
Pact Compliance Review checks every upload, usually within minutes, 24/7. It approves the document and records its expiration date, or tells the student exactly what is wrong and what to upload instead. Anything only your program can decide, such as an exemption request, comes to you. Drug test results and background check reports are never part of it: they come straight from the lab and the screening partner.
Placements and clinical shifts
Keep each clinical site's contacts, capacity and affiliation agreement end date, with a reminder before the agreement runs out. Post dated shifts at each site, with unit, instructor and seats. You can assign students yourself, or let students claim open shifts. Worked shifts go into each student's hours log, and schedules and hours can be downloaded.
Proof the hospital accepts
Hospitals ask two things: are these students cleared, and can you show me? The share link shows only the students you choose, with their approved records. The access code is sent separately, the link has an end date, and every view is logged. The verification letter lists the students who meet every requirement as of today, and names anyone left out and why. Drug test and background check results are never on a share link.

Common questions
Does it work for ADN, BSN, LPN and RN-to-BSN programs?
Yes. Each program gets its own requirement list, cohorts and due dates, and one director can see all of them.
Can each hospital have different requirements?
Yes. Each clinical site can add its own rules on top of the program list. For example, one site may accept a flu vaccine declination and another may not.
How fast are uploads checked?
Usually within minutes, 24/7, by Pact Compliance Review. A student who uploads the wrong thing at 11 p.m. usually learns what to fix within minutes, not next week.
Who pays?
You choose. Students pay online for their own tracking, tests and checks, or students sign up with your program code and the school gets one invoice.
Can clinical instructors see who is cleared?
Yes, through the roster and through the share link you send each site. Drug test and background check results go only to the people at your school who need them.
Does it connect to our student information system or LMS?
No. Pact Schools doesn't connect directly to student information systems or learning platforms.
