A requirement list that's yours

Start from the default healthcare list below. Change how often anything renews, limit items to certain disciplines, add your own, and give each facility the extra items it asks for.

Workers upload from their phone

Each worker gets a one-time link to their own page — no app, no password. They see what's still needed, send a PDF or a photo, and read why anything was sent back.

Uploads checked against written criteria

A clean document is approved automatically and its expiration set. Anything unclear, and every declination, waits for your reviewers with the reason. Background checks and drug screens are always read by a person.

Reminders before anything runs out

Workers and your recruiters are emailed at 30, 14 and 7 days before something runs out, and again once it has. A renewal already sent stops the reminders.

Cleared or missing, per facility

Place a worker at a facility with dates, and see Cleared or exactly what's missing — something expired, or a declination that facility won't take — with a warning when a card runs out mid-assignment.

Share with a facility, no login

Send a link and a separate 6-digit code. It shows only the workers you chose, runs out on the date you set, locks after five wrong codes and records every view. Or download a packet with a summary and every approved file.

The default list

What every worker needs on day one — and where each rule comes from

Only two of these are set by a federal rule for every employer whose workers are exposed: the yearly N95 fit test and yearly bloodborne pathogens training. The rest follow CDC recommendations or common facility practice, so you set them to match the facilities you staff.

  • MMR (measles, mumps, rubella) · once
    CDC immunization recommendations for health care personnel.
  • Varicella (chickenpox) · once
    CDC immunization recommendations for health care personnel.
  • Hepatitis B · once
    OSHA 29 CFR 1910.1030(f): the vaccine must be offered; a worker who declines signs the Appendix A statement.
  • Tdap (tetanus, diphtheria, pertussis) · every 10 years
    Common facility practice, not a federal rule. Change it to match the facilities you staff.
  • Flu shot (current season) · each flu season
    CDC recommends a yearly flu shot for all health care personnel; the season window is the facility's.
  • TB screening · every year
    CDC (2019) recommends TB screening at hire and no routine yearly testing without an exposure. Many facilities still ask for it yearly, so it's set to 1 year. Change it to 'once' if your facilities don't.
  • BLS (Basic Life Support) card · every 2 years (end of month)
    The card's own 2-year term; AHA cards run through the end of the month.
  • Bloodborne pathogens training · every year
    OSHA 29 CFR 1910.1030(g)(2)(ii): at initial assignment and at least annually.
  • HIPAA training · every year
    Common facility practice, not a federal rule. Change it to match the facilities you staff.
  • N95 fit test · every year
    OSHA 29 CFR 1910.134(f)(2): before first use, when the mask model changes, and at least yearly.
  • Physical / health clearance · every year
    Common facility practice, not a federal rule. Change it to match the facilities you staff.
  • Background check · every year · read by a person
    Common facility practice, not a federal rule. Change it to match the facilities you staff. Reviewed by a person, never by the automatic reader (it's a consumer report).

    States license nurses and allied health workers. The expiration date printed on the license is used; 2 years is only the fallback when no date is printed.

10-panel urine drug screens, with or without alcohol, collected near the worker. Lab testing starts once Pact's laboratory network is live; Josh will tell you the start date.

Background checks

Run on your own screening account, which we set up with our screening partner, with the worker's written consent under the Fair Credit Reporting Act. You review the report and make the decision.

A facility sees that the check or screen is current, never the report itself.

Kept private, and every view on record

  • Workers' immunization records, TB results and other health documents are used only to run your program and shared only with the facilities you choose.
  • Every view of a worker's records, every share link opened and every file viewed through one is recorded.
  • Your admins and recruiters sign in with a second step (an authenticator code). Logins for your staff are included.
  • Your records are yours: download any worker's packet at any time, and take everything with you if you leave.

What agencies ask

Do facilities need a login?

No. You send a facility a link and, separately, a 6-digit access code. The link opens only the workers you chose, runs out on the date you set, locks after five wrong codes, and records every view. You can turn it off at any time.

Do workers need an app or a password?

No. Each worker gets a one-time link to their own page by email (and by text, once texting is switched on for your agency). They see what's still needed, send a PDF or a photo of each document, and read why anything was sent back. If a link runs out they can get a new one themselves with the email address you have on file for them.

What does the automatic review check?

For each document it checks that it is the right kind of document, readable, complete, in the worker's name, and still current, against written criteria for that requirement. It approves only when every check passes. Anything else - and every declination or exemption - waits for your reviewers with the reason. Background checks and drug screens are never sent to it.

Can we use our own requirement list?

Yes. You start from the default healthcare list, change how often anything renews, remove what you don't need, limit items to certain disciplines, and add your own. Each facility can add its own requirements on top of yours.

What if a facility won't accept a declination?

You mark which kinds of declination each facility refuses. A worker cleared by one of those shows as missing that item for that facility, while staying cleared for facilities that accept it. Flu declinations show the mask-in-patient-areas condition.

Who decides whether a worker is cleared?

Your agency does. The portal shows whether a worker's records on file match your list and the facility's; deciding who is qualified, and verifying licenses with the issuing board where a facility requires it, stays with you.

Do you handle drug screens and background checks?

Yes. Drug screens go through Pact's laboratory network once it is live, and background checks run on your own screening account, which we set up with our screening partner, under the Fair Credit Reporting Act. Either result is shown to a facility as a status only, never the report.

How is it priced?

One price per active worker per month - workers who have left aren't billed - with admin and recruiter logins included, no setup fee, and month to month. Tell us how many active workers you have and you get the number in writing the same day.

What happens to our records if we leave?

They're yours. You can download every worker's packet at any time, and when you leave we give you your records.
