Pact for nursing homes, on one page
Pact Compliance Review checks every upload, usually within minutes, 24/7. For owners and boards: what it is, what it costs, the terms and how long setup takes.
What it is
Pact keeps every staff file current in one online place. Every aide's registry check, in-services and yearly review. Every license, TB result and CPR card. A monthly OIG and state exclusion check, with saved proof.
Staff send their documents from their phone, and Pact Compliance Review checks every one, usually within minutes, 24/7. The person who keeps the files, often the staff development coordinator, gets reminders before anything runs out and one packet to hand a surveyor.
- We check every license and aide registry for you.
- Every Monday you get one email: who's expired, who's coming up, and what we handled for you.
- Send us your staff list in any format. We load it for you. Each month, upload your payroll or HR export (Paycom, ADP, Paylocity or any other, as CSV or Excel). Pact shows who's new, who's no longer on payroll and what changed, and nothing changes until you confirm. There's no direct connection to your payroll system: you upload the file.
- Residents (optional): every resident's flu, pneumococcal, COVID-19 and RSV education, offer and outcome, the due list, and NHSN upload files for the weekly resident summary (57.218) and the yearly staff flu summary (57.214). Resident immunization tracking.
It doesn't chart care, give vaccines or run payroll, and it doesn't submit to NHSN for you. Keep your trainer, your records system and your payroll. Pact's free online in-service courses are open to anyone.
Why it matters
- Federal rules set what goes in an aide's file: a registry check before work, 12 hours of in-service a year and a yearly review (42 CFR 483.35 and 483.95).
- A home that employs someone on OIG's exclusion list can owe civil money penalties (42 U.S.C. 1320a-7a(a)(6)). OIG's compliance guidance for nursing facilities recommends checking employees monthly. Recent cases.
- With high staff turnover, a home checks new people all year.
What it costs
- $10 per active staff member a month, $250 minimum. People who have left aren't billed.
- Example: a home with 90 active staff pays $900 a month. A home with 20 pays the $250 minimum.
- Residents (optional): $2 per certified bed a month. Flu, pneumococcal, COVID-19 and RSV records, the due list and NHSN upload files. A 70-bed home adds $140. Pact signs a BAA before the first resident is added.
Terms
- Month to month. No long-term contract.
- Either side can end it with 30 days' written notice.
- No cancellation fee.
- Your records export free, any time, including when you leave.
- People who have left aren't billed. You pay for active staff only.
- First month free: no monthly fee for the rest of the month you sign or the next full month. No setup fee.
Setup time
Signing the agreement online takes about five minutes. Then you connect a bank account (connecting it charges nothing) and send us your staff list in any format, and we load it. The first exclusion check runs as soon as staff are added. Files fill in as staff upload from their phones, during the free first month.
Security
- Hosted in the United States on Amazon Web Services, encrypted at rest and in transit.
- Two-step sign-in for every client login, and a log of every view and change.
- Written notice within 72 hours of a security incident. Your information is never sold.
- An automated system reads each upload; a Pact reviewer confirms it. Test results, drug screens and background check reports are never sent to it.
